Chapter 1: Why Would I Do This?

omputer spreadsheet software is the application software that started the personal computer revolution. That's because electronic spreadsheets, such as Microsoft Excel, are versatile tools for both personal and business use. As you work through the projects in this book, you will find that spreadsheet technology enables you to calculate and display your business applications easily and flexibly. Spreadsheets, as you will see, aid your thought processes and save you time. Basically, spreadsheet software turns your computer into a business analysis tool. Many people compare spreadsheets to pocket calculators, but spreadsheets have capabilities that are many times more powerful than even a high-tech calculator. At the most basic level, Excel enables you to decide what data you want to see and how it is to be displayed-a capability no pocket calculator can duplicate. You will explore these features of Excel first.

In this project, you begin to learn how spreadsheets work and what you can do with them by starting the software and taking a tour of the Microsoft Excel screen. You also get a taste of how spreadsheets can help you by creating a list of office expenses. After you create the list, you learn how to revise your worksheet, save your work, prepare the list for printing, and, finally, print it.

Lesson 1: Starting Excel

The first thing you need to know about Excel is how to start the software. Windows 95 must be running on your computer before you can start Excel. If you are not familiar with Windows 95 or using the mouse, ask your instructor for assistance. When you first start Excel, the program displays a blank workbook titled Books, which displays a blank worksheet, titled sheets. In Project 2, "Building a Spreadsheet," you learn to create a new worksheet and work on an existing worksheet. In this lesson, you use the blank default worksheet supplied by Excel.

The very first time you start Excel 97, the Office Assistant may appear in the upper right-hand corner of your screen. The Office Assistant is an animated graphics image included with Microsoft Office 97. (By default, it assumes the appearance of a paper clip called Clippit.)

The Office Assistant is designed to help you learn how to use the Microsoft Office applications quickly and easily. If the Office Assistant appears when you start Excel 97, simply click the button next to the statement, Begin working in Excel 97 right away. The Office Assistant will close, and you can continue using Excel. You learn more about using the Office Assistant in Lesson 3 of this project.

Lesson 2: Using the Excel Window

Now that Excel 97 is running on your computer, it's time to learn about the Excel window. You may recognize some of the elements from other Windows programs, such as the minimize and maximize buttons, the control menu icon, scroll bars, the title bar, the menu bar, and so on. Other elements of the window are features of Excel that will help you complete your work quickly and efficiently. The formula bar, sheet tabs, and toolbars are convenient tools that you will use in most of the projects throughout this book.
